A USERS GUIDE

1.                SPACE OFFERED

YELLOW ROOM available for hire

BLUE ROOM available for meetings and quiet use only as this is where the Church meets.

 

The use of the Blue room will be revised termly by the Ark Management Committee.  This is to allow for the growing requirements of the church and its activities.

 

HIRE INCLUDES FULL USE OF KITCHEN AND ITEMS THEREIN

i.e. Baby Belling, crockery etc.

If two groups in the Ark at once they will have to share use of the kitchen.

 

2.      INSURANCE

           One off events – public or private, are covered by the Church’s

            Insurance policy.  Any group or individual may use the Ark up to 3

            Times a year and remain covered.  Groups coming under the auspices        

            Of the church are covered automatically.

            Regular users may choose to be covered by the church’s insurance

            policy for a fee of £25 per year.  If you wish to see more detail on the

            Insurance cover you are welcome to see the Church Insurance Policy

            Document.

 

3.      BOOKINGS OFFICER

Julie Whitbread can be contacted on 202546.

The key can be picked up from the Bookings Officer .

Please allow good time for arrangements to be made as Julie is not available at all hours!

 

4.      KEY HOLDERS

Regular groups will nominate a key holder who will take responsibility for all that happens under the name of the group. That person will be given a key to keep, which will be signed for.   It is required also that one person be named who will be present on each occasion of the booking.

The Keyholder will be responsible for opening up, turning the heating on and off, locking up, tidying up and leaving it in the condition they found it.

 

5.      OPENING HOURS

The Ark will be available from 0800am until 1100pm.

Activities will however be required to end by 1030pm allowing time for people to leave and the room to be cleaned.

Private parties will end at 6.30pm with people out by 7.00pm.

 

The Ark is not available for hire on Sundays.

 

6.      DAMAGE

Is to be reported and paid for. Do not simply replace what is damaged.

Please report immediately  to the Booking Officer if the condition of any of the rooms on arrival is unacceptable.

 

7.      NO SMOKING

There is to be no smoking in any part of the Ark or the container.

 

8.     ALCOHOL

The SALE of alcohol is prohibited on any part of the premises.  However, at community social events (not private) alcohol may be supplied or brought along by the attendees to share with others, if permission has first been sought from the Management Committee.  All bottles must be completely removed from the premises at the end of the event.

           

9.      SAFETY

Note accident book.  Any accidents other than minor ones should be recorded in the accident book.

Note position of fire extinguisher, blanket and First Aid kit.

For safety reasons cannot lock Blue room. If given let for left room then right room will be open but should only be used in an emergency.

All leaders should have an emergency plan in case of fire in their room or in the adjacent room.  For regular users a fire drill is advisable occasionally.

 

10.    ELECTRICS

In the event of the electrics failing (in part or whole), the electric trip switches are located in the Blue room cupboard. Please familiarise yourself with their operation.   A torch is hanging just inside the door for this reason.  Please do not remove it.

Electrical equipment used in the Ark is professionally checked and certified annually.  Groups are asked to ensure their equipment is in good condition and to have it checked annually. CTC will submit hirers equipment at the annual visit, if suitable notice is given.

 

11.    CHILD PROTECTION

All groups involving children (under 18) are asked to submit their Child Protection Policy to the committee at the time of booking and to ensure that the correct ratio of adult leaders to children is adhered to at all times.

All adults involved with children’s groups must be CRB checked.  Evidence of this may be asked for by the management committee.  No adult may be left alone with children until they have CRB clearance.

 

12.    CONSIDERATION FOR OTHERS

Please ask your guests to leave quietly at the close of your event. Car doors banging and loud talk in the car park are disturbing to the local residents.

Please leave the Hall clean and tidy. In particular we ask you to ensure that the tables are wiped clean and all refuse is placed in the dustbin outside.  Also, ensure that all heaters and lights are OFF on leaving.

 

 

13.   HIRE COSTS (Per Hour) 

 

Each booking is classified as one of three types and will always be at the discretion of the booking officer.

 

   A.  Community groups – all non profit making local groups.

B.   Semi-Commercial – any individual or small group that charges to make an income.  Also, to include commercial organisations arranging events that may involve some community benefits.

C.   Commercial – any other business use

14.   STORAGE

Any group wishing to make use of the storage available at the Ark, either in the form of the container or in the internal storage cupboard, will need to pay an extra £1 per hour that they use the hall, to enable the Church to pay for the container.  These groups will be given a key for the container to keep for the duration of their usage.

 

Any comment or observation that you may have regarding your hire should he addressed to the Ark Management Committee.
